Fair Conditions and Participation Rules

The Vella Terra Fair is a unique event held since 2016, exclusively dedicated to wine produced through sustainable agricultural practices such as organic, biodynamic, permaculture, or regenerative farming. The wines showcased at this fair are crafted using artisanal processes, free from synthetic oenological additives, with the exception of minimal doses of sulfites, which at Vella Terra do not exceed 30 mg per liter.

With an international and professional (B2B) focus, this fair also welcomes wine enthusiasts from the general public. We believe that direct interaction between producers and consumers is essential to building a strong value chain and promoting reliable and transparent distribution.

At Vella Terra, our fair conditions ensure a professional, organized, and equitable environment for all participating wineries. To confirm a stand, it is mandatory to pay for the exhibition space and provide a box of wines to be showcased at our Garage Bar, where it will be promoted to all event visitors.

From the opening of registrations, invited wineries or those interested in participating through the registration form have 30 days to confirm their stand. This deadline, established as part of our fair conditions, ensures diversity and inclusivity in the event, allowing any winery meeting the requirements to participate. After this period, confirmations will depend on availability.

The stand fee includes: exhibition space, spittoons, tablecloth, ice, ice bucket, 2 glasses, 2 exhibitor passes, sample transportation and storage in Barcelona, a winery profile on our website, promotion through newsletters and social media (targeting professional subscribers since 2016), cleaning services, on-site assistance, and the ability to sell directly to visitors, maximizing the profitability of your exhibitor space.

In compliance with the fair conditions, all samples must be sent to Garage Bar (Calle Calabria 75, 08015, Barcelona) at least 20 days before the event. The Vella Terra team will handle the reception, classification, and transport of the boxes to ensure they are ready at each stand on the day of the fair. If this deadline is not met, the service cannot be provided, and participants must bring their boxes directly to Barcelona on the day of the event.

Each winery is assigned an individual stand, as stipulated in the fair conditions. Sharing the stand with other wineries or selling/displaying bottles from unregistered wineries is strictly prohibited. This ensures fair and professional representation for all Vella Terra participants.

Cancellation and Refund Policy for Stands at Vella Terra Natural Wine Fair

Since 2016, the Vella Terra Fair has established itself as a benchmark for professionalism, mutual respect, and excellence in event organization.

Over the years, we have identified the need to establish a clear and fair stand cancellation policy as part of our fair conditions. This is aimed at minimizing the inconveniences such cancellations can cause to the operational and promotional development of our event.

The promotion of our fair is an extensive process, recognized for its reach and rigor. To ensure its proper execution and the continuity of the event, stand cancellations impact not only the lineup of confirmed wineries but also the deadlines and official communication channels. When cancellations occur, we are forced to halt the promotional process, initiate a new selection, and face delays in the official publication of the lineup. Furthermore, finalized lists that have already been submitted to third-party apps and specialized magazines—operating under their own schedules and policies—make it challenging or even impossible to make updates, potentially leading to confusion among attendees.

To avoid misunderstandings and ensure clarity, under our fair conditions, the price of exhibitor stands is refundable only if the cancellation is made within 5 days of stand confirmation and at least 10 days before the end of the registration period specified in the registration contract.

However, we offer the possibility to reserve a stand for the next edition of our fair, paying the difference if necessary. This option is valid for up to 1 years or 1 editions following the stand cancellation. If attendance is not possible the following year or edition, it can’t be rescheduled for the year after and the full amount for a new stand must be paid.

Fair Conditions Regarding Misconduct.

At the Vella Terra Fair, we strive to ensure a professional and respectful environment for all participants. Below are what we consider bad practices or violations of our participation rules:

Document Submission: Wineries must submit the required documentation (e.g., wine analysis) at least 10 days prior to the fair. Failure to do so will result in the cancellation of the stand, applying the corresponding refund policy.

Bad Practices: Presenting unregistered wines or wines from other wineries is considered bad faith and will lead to the immediate cancellation of the stand.

Inappropriate Behavior: Xenophobic, sexist, gender-based violence, or any behavior contrary to ethical principles will result in the immediate cancellation of the stand.

Excessive Alcohol Consumption: Excessive alcohol consumption leading to disrespect towards organizers, attendees, or staff will result in the immediate removal of the stand.

This policy is designed to maintain a balance between the needs of our participating wineries and the operational and promotional commitments of the fair. As part of our fair conditions, we strive to ensure a transparent and respectful working environment that values the time, resources, and efforts of all parties involved.
